Passbeam

Terms of service

Last updated 11 October 2026.

Who these terms are with

Passbeam is provided by Passbeam Ltd, a company registered in England and Wales (company number 17485165), registered office 71-75 Shelton Street, London WC2H 9JQ (“Passbeam”, “we”, “us”). By creating an account or using the service you agree to these terms. If you are agreeing on behalf of an organisation, you confirm you are authorised to do so, and “you” means that organisation.

Nothing in these terms takes away rights you have under consumer law that cannot be given up.

What Passbeam does

Passbeam issues certificates and answers network authentication requests for networks you configure. It decides whether a device or a person is allowed onto a network you control, using a directory you connect and rules you set. It does not see, store or carry the traffic on those networks.

You are responsible for the networks you point at Passbeam, for the rules you configure, for the directory permissions you grant, and for the people you invite into your account. You are responsible for having the right to connect the directory and the networks you connect.

What it costs, and how you pay

Passbeam is free while your account has 10 or fewer devices, people, guest logins and MAC-only devices in total. Once it has more than 10, every one of them is charged at the prices on our website at the time: currently £1.75 a month for each device or person holding a certificate, and £0.75 a month for each guest login or MAC-only device. Approved resellers pay the trade prices agreed with them.

Logs are kept for three months. You can choose to keep them for one year, at £100.00 a month, or five years, at £300.00 a month, for the whole account, whatever its size and including accounts within the free allowance. Five years is available up to 2,500 devices. Each month is charged at the longest retention that was set at any point during it. Shortening it deletes older logs, and they cannot be recovered.

Prices exclude VAT. Passbeam Ltd is not VAT registered today, so none is charged. If we register, we will add VAT at the rate in force on top of the same prices, from the date on your invoice.

We count on the 1st of each month and invoice you that day for the month just gone, so you pay in arrears. You pay by Direct Debit, collected by GoCardless on our behalf a few working days after the invoice. GoCardless tells you the amount and date before it collects, and your payments are protected by the Direct Debit Guarantee.

If you think an invoice is wrong, tell us through support within 30 days of its date and we will look at it. If it is wrong, we will correct it with a credit on your next invoice or a refund. This does not affect your rights under the Direct Debit Guarantee.

If you don’t pay

Once your account is over the free 10, you need a Direct Debit in place. If there isn’t one 14 days after we tell you so, we lock your account: you can still sign in to set one up, but you cannot make changes or enrol new devices until you do. Your network keeps working while your account is locked.

If an invoice is still unpaid 60 days after its date, we may suspend the service, including network authentication, until it is paid. We will email your owners and admins at least 14 days before we do, naming the date. The service is restored as soon as the payment is confirmed.

Availability

The service is provided as-is and as-available, with no guarantee of uptime whatsoever. There is no service level agreement, no uptime target, no credit or refund for downtime, and no commitment to any response time. We may change, suspend or withdraw any part of the service, at any time, with or without notice.

We aim to keep the service running and to fix problems quickly, but this is not a contractual commitment and you should not rely on it.

Plan for the service being unavailable. If a network you run depends on Passbeam, devices cannot authenticate during an outage. Plan for this, for example with a second authentication server, a fallback network, or an accepted period without access.

No warranties

To the fullest extent permitted by law, we give no warranties, conditions or representations of any kind, whether express or implied, including any implied terms about satisfactory quality, fitness for a particular purpose, accuracy, or non-infringement. We do not warrant that the service will be uninterrupted, error-free, secure, or that it will meet your requirements or those of your customers.

Our liability

To the fullest extent permitted by law, we accept no liability to you of any kind arising out of or in connection with the service. That includes, without limitation, any loss of profit, revenue, business, contracts, goodwill, anticipated savings or data; any inability to access a network; any unauthorised access to a network; and any indirect or consequential loss, whether the claim is in contract, tort (including negligence), breach of statutory duty or otherwise, and whether or not the loss was foreseeable or we were told it might occur.

Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else which cannot lawfully be excluded or limited.

If, despite the above, we are found liable to you, our total aggregate liability for all claims arising in any 12 months is limited to the fees you paid us in the 12 months before the event giving rise to the claim.

Your responsibilities

You agree not to use the service unlawfully, to attempt to gain access to accounts or data that are not yours, to probe or attack the service, or to use it to breach anyone else’s rights. You are responsible for keeping your credentials and second factors secure, and for the actions of everyone you invite into your account.

You must tell us promptly if you believe your account has been accessed by someone who should not have it. Use a support ticket for anything that needs a person.

Data protection

How we handle personal data is set out in the privacy policy. Where you use Passbeam to manage networks for your own customers, you are the controller of their personal data and we are your processor. The terms for that are in the data processing agreement, which forms part of these terms.

Ending it

You may stop using the service and delete your account at any time. Deleting your account deletes its clients, their certificate authorities and keys, the logs and the support history. Devices holding certificates from those authorities will then stop being able to authenticate, and the product warns you of this before you delete.

You can cancel at any time by deleting your account or cancelling your Direct Debit. We bill in arrears, so you pay for the month you leave in, on the invoice dated the 1st of the next month, and nothing after it. Nothing is paid in advance, so nothing is refunded.

We may suspend or end your access if you break these terms, if we are required to, or if we stop offering the service. Where we are ending the service generally rather than responding to something you have done, we will give you what notice we reasonably can.

Changes

We may update these terms. The date at the top changes when we do, and continuing to use the service after that means the new terms apply. If you do not accept a change, stop using the service and delete your account.

We may change our prices. We will email your owners at least 30 days before a higher price applies, and it will first appear on the invoice for the month after that notice ends. You can cancel before then and pay only at the old price.

Law

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction. If you are a consumer resident elsewhere in the UK, you may bring proceedings in your own jurisdiction.
